Privacy Policy

1. Introduction

Volve attaches great importance to the careful and safe handling of privacy-sensitive information of its website visitors, clients, applicants, (former) employees, partners, suppliers and other stakeholders. Volve has therefore established this privacy statement. Volve treats and secures the personal information entrusted to her with the utmost care. With this privacy statement, Volve provides insight into how Volve deals with your personal information in accordance with the General Data Protection Regulation.

Volve is a data controller and therefore has control over the processing of personal data and determines the purposes and means of processing.
Volve sometimes engages other companies to perform services for it. In these situations, Volve remains ultimately responsible for the processing of your personal data. With these companies, Volve makes contractual agreements regarding the handling of your personal data, so that your privacy remains safeguarded.

3. Technical information

When you visit our website, the website automatically collects information about the (devices of) our visitors. This includes information about the device used to visit the website, the IP address of your device, the IP address of your internet service provider, the operating system you are using, the date and time of your visit, the internet address of the website from which you were directly linked, the pages you visited and the information you viewed on the website, the geo-location where you are located and the material you send to and download from the website. We use this technical information to administer the website and to improve the quality and effectiveness of our website.

Volve makes use of cookies and web statistics. This enables us to see how visitors use our website. This enables us to better adapt our website to the preferences of our visitors. 5. When do we collect your personal data?

* if processing is necessary in order to comply with a legal obligation to which Volve is subject;

* if the processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in Volve;
* if processing is necessary for the purposes of protecting the legitimate interests of Volve or a third party, except where such interests are overridden by your interests or the fundamental rights and freedoms requiring protection of your personal data.

6. Why do we collect your personal data?

Your personal data is used to provide you with the best possible services, including traineeship, consultancy, mediation, payroll, payroll administration, personnel management, personal development & employability, recruitment & selection and ambassadorship of our organization.
Volve uses your information for the following purposes, among others:
* to match supply and demand in the job market.
* to register and process hours worked in our project administration.
* We can assess your suitability and availability in connection with a mediation for a traineeship or an assignment, which may also include test results.
* to enter into and maintain an employee or personnel/employment relationship with you and to carry out the relevant administration.
* to be able to record an assignment with the client in an agreement with the client and to maintain and fulfil the agreement with the client.
* to process data on behalf of our clients as part of a pre-employment screening.
* to promote your personal development and employability, including training, education and testing.
* for management purposes including management information, providing internal controls and corporate security and performing audits and auditing.
* for quality purposes such as certification.
* if we have entered into an employee or staff/traineeship relationship with you, for compliance with laws and regulations, including but not limited to identification, labor laws, tax and
social security legislation, fraud prevention and national and international sanctions legislation.

7. What personal data do we collect from you?

If you are a candidate consultant, consultant, (temporary) (former) employee, ambassador, independent entrepreneur and/or business relation of Volve, Volve may process the personal data listed below. You are responsible for ensuring that the personal data you provide is accurate and up to date.
* name, address, phone number and other contact information
* birth data, age, gender
* curriculum vitae (CV), information about education, internships and work experience.
* information about training and education and/or tests that you have followed or done yourself or through us.
* other information that is or may be important in assessing the suitability of the candidate, for example references and certificates and information concerning work experience.
* on a voluntary basis, other content with which you present yourself (video, photo)
* data other than those mentioned above, the processing of which is required by or necessary for the application of the law
placed consultant, (temporary) (ex-)employee and self-employed person

If you can work/work/have worked for Volve or its clients, Volve may process the following data:
* name and address, email address, telephone number, bank and/or giro account number and other contact information
* birth data, age, gender
* curriculum vitae (CV), information about education, internships and work experience.
* information about training and education and/or tests that you have followed or done yourself or through us.
* data on availability and leave
* nationality, bsn & identity card (copy of identity card), any work permit
* data in the context of a pre-employment screening
* data concerning the nature and content of previous employment, as well as the termination of such employment
* other data that are or may be important in assessing the candidate’s suitability, for example references and certificates and data concerning work experience
* other data related to personnel, salary and absenteeism registration
* on a voluntary basis, other content with which you introduce yourself (video, photo)
* data other than those mentioned above, the processing of which is required by or necessary for the application of the law.

8. Third parties

Volve may disclose your personal data to other entities of Volve, its clients, subcontractors (e.g. data processors) who provide services or perform assignments on behalf of Volve, suppliers, governmental authorities, and other business partners. And in all other cases in which we may be required to do so, for example by a court order or a court judgment.
The provision of the personal data is done on the basis of a legitimate interest, legal obligation and/or to execute the agreement in accordance with the purposes as mentioned under “why do we collect your personal data?”.
In principle, your personal data will not be transferred outside the European Union. In the event that this is the case, the parties concerned will be informed.

9. Your Rights

We are committed to ensuring that you can easily exercise your rights in relation to the processing of your personal data. If you wish to exercise any of the rights to which you are entitled and which are set out below, please contact us as described below.

Access and/or change data
You can request us at any time at support@volve.be or by letter to Gravenplein 6, BE-1770 Liedekerke to inform you which of your (categories of) personal details we are processing, for which purposes, from which source the details originate and which retention periods we are using.
In addition, you can contact us at any time to supplement, correct or remove your details. In the unlikely event that we have provided incorrect personal information about you, we will rectify this. If you have access to your own private web environment or a portal, you may also be able to (partially) supplement, correct or delete your data. When we have changed your personal data we will inform you about this.

Limiting the processing of your data
If you do not agree with the content of the data we hold on you, you can request that we restrict the processing of your data temporarily. We will then wait to disseminate your data until it has been put back in order in your opinion. You can submit a request for a processing restriction at any time, via support@volve.be or by letter to Gravenplein 6, BE-1770 Liedekerke.
When we restrict processing of your personal data we will notify you.

Right to transfer data
You may request the personal data we hold about you in a structured, commonly used and machine-readable form at support@volve.be. You are completely free to transfer this information to a third party.

Right to be forgotten
If you no longer wish to use our services you can request the deletion of all your personal data. You can request us to delete all your data at any time via support@volve.be or by letter to Gravenplein 6, BE-1770 Liedekerke.
In addition, you may withdraw your consent to the processing of your data at any time. We will cease processing your personal data for which you had granted permission unless statutory (exemption) provisions apply. However, withdrawing your consent will not affect any processing that has already taken place.

Procedure, response time and costs
We will try to deal with your requests as referred to in this section as quickly as possible, but at the latest within one month. We are required to verify your identity before your requests can be fulfilled. Your requests will in principle be handled electronically, unless this is not possible or you request otherwise.
In principle, we will not charge you for processing your aforementioned requests, unless your requests are excessive, manifestly unfounded or if you request additional copies with the right of inspection.

10. Security

Volve makes every effort to optimally secure your personal information against unlawful use. We do this by means of physical, administrative, organizational and technical measures. For example, only authorised people have access to the data. If and to the extent that data is provided to designated processors who provide services or carry out assignments on its behalf, Volve has agreed with them to optimally secure the personal data as well.

11. Retention period

Volve does not retain personal data any longer than is necessary for the purpose of processing and in accordance with statutory retention periods.

12. Questions, comments, complaints or (suspected) data breach

If you have any questions, comments or complaints about the protection of your personal information by Volve, please contact us in writing or by e-mail at support@volve.be or Gravenplein 6, BE-1770 Liedekerke.
If you do not agree with Volve’s use of your personal data, you can also file a complaint with the Personal Data Authority.

13. Data breach

If there is a data breach (or suspicion thereof), please report this immediately to support@volve.be.

14. Changes

Volve reserves the right to modify or amend this privacy statement. None of the provisions of the privacy statement are intended to create any obligation or agreement between Volve and a data subject.

15. Other provisions

The provisions of this privacy statement and any disputes arising from them are governed by Belgian law, insofar as our Belgian offices are concerned.
